Restricted rooms and escorted cleaning on a Macquarie Park campus

Exclusion is the simplest and it is often correct for equipment rooms where cleaning brings more risk than benefit. It should still be written down, because an excluded room that nobody has recorded becomes a complaint eventually, usually from someone who assumed the cleaner was attending. Naming it as excluded also prompts the question of who does clean it, which frequently turns out to be nobody.

Escorted cleaning suits rooms that need attention but not unsupervised access, such as areas holding sensitive material. It requires an escort who is available at the cleaning hour, which is the constraint that usually decides whether the arrangement works. Nominated access, where specific cleaners hold specific permissions, suits campuses with graduated access levels and works well provided the roster is stable.

Technical rooms deserve their own treatment because ordinary cleaning practice can cause harm. Water near equipment, disturbing cabling, moving items on racks and using standard products around sensitive hardware are all realistic risks. Many organisations restrict cleaning to a defined perimeter, or to a specific method agreed with the technical team, rather than including the room in a general scope. Where a technical team has its own cleaning arrangement for the room, recording that in the scope prevents the space appearing to be covered twice or not at all.

Where cleaning is required, the method should be agreed with the people responsible for the equipment rather than assumed. That conversation is short and it prevents both damage and the more common outcome, which is a cleaner declining to enter a room they were nominally responsible for because nobody told them what was safe to touch. Recording the agreed method removes the ambiguity permanently.

Nominated access only works if the site knows who holds it and the contractor tells them when it changes. A permission granted to an individual who has moved on is a live risk, and it is invisible until an audit or an incident surfaces it. The register of who holds which access, and its reconciliation when personnel change, belongs in the same file as keys and induction records.

Relief attendance is the recurring pressure point. A relief cleaner without the access cannot clean the restricted rooms, which means either those rooms are skipped or an exception is sought at short notice. Deciding in advance which of those applies, and recording it, is better than the alternative where the decision is made informally by whoever is on duty that night.
